The basics
What is Roastflow?
Roastflow is the operations platform for specialty coffee roasters. One live record of your green coffee, roasted inventory, open orders, and roast history — synced to Shopify, WooCommerce, and (soon) QuickBooks so the numbers never drift.
Is Roastflow ready to use, or still being built?
We're in free public beta. The core pieces — green coffee inventory, Shopify and WooCommerce sync, the roast logger, and pricing tools — are live and being used by real roasters today. Larger features like the B2B portal, ML insights, and the green coffee marketplace are actively shipping.
Who is Roastflow for?
Specialty coffee roasters running 20 to 2,000 lbs per week who are tired of spreadsheets, inventory drift, and manual QuickBooks entry. Single-person shops through small multi-roaster wholesale operations.
How is Roastflow different from Cropster or Artisan?
Cropster is an excellent profile and QC tool but isn't connected to your commerce layer. Artisan is a free roast-logging app. Roastflow treats the whole business as one system: inventory, roast logging, orders, wholesale pricing, and COGS in one place, connected to the tools you already sell through.
Data, privacy, and lock-in
What happens to my data?
It's yours. You can export every roast log, inventory record, and order as CSV from your dashboard at any time. We don't sell your data and we don't use it to train AI models.
Can I delete my account?
Yes. Delete your account from settings and your data is removed within 30 days, except where we're required to retain records by law. No tickets, no retention calls.
Where is my data stored?
On Convex and Vercel infrastructure hosted in the United States. Data is encrypted in transit (TLS) and at rest. Sensitive personal data is encrypted at the field level.
Migrations & integrations
Can I bring data in from Cropster, Artisan, or a spreadsheet?
Yes. Roastflow imports Artisan .alog profiles directly, and there are CSV importers for lots, products, and order history. Migrating from Cropster or another platform? Email support@roastflow.io — we'll help you move.
Which integrations are live right now?
Shopify and WooCommerce are live today. QuickBooks, Xero, and ShipStation are in active development. Squarespace commerce is scaffolded and shipping soon.
Does Roastflow work with my roaster hardware?
The live roast logger supports Modbus-connected roasters for real-time temperature and gas capture. Manual entry works on anything. We add hardware profiles on request — tell us what you roast on.
Pricing & billing
How much does Roastflow cost?
Free during beta. When paid plans turn on, beta users get grandfathered pricing. Current plan tiers and what's included are on the pricing page.
Do I need a credit card to start?
No. The beta requires no payment method. You can use Roastflow end-to-end without entering card details until paid plans launch.
Can I cancel anytime?
Yes. Paid plans (once live) can be cancelled from your account settings. Access continues through the end of the paid period; no lock-in, no exit fees.
Support
How do I get support?
Email support@roastflow.io — the founder reads every message and usually replies the same day. Urgent bugs are triaged and fixed within 24 hours.
Is there documentation?
In-app tooltips and a growing help center cover the main workflows. Our blog posts dig deeper into topics like roast loss math, COGS, and pricing strategy. Post-beta, we'll publish a dedicated docs site.
Can you build a custom feature for my roastery?
Tell us. We prioritize features that help more than one roaster, but we've shipped targeted work for beta partners in exchange for feedback. Send a note through the contact page.
